Procurement Department Officer
Key Responsibilities:
1. Receive purchase requests from departments and review them before execution.
2. Research suppliers, obtain quotations, and perform price comparisons.
3. Contribute to supplier evaluation and monitor their compliance with quality and delivery schedules.
4. Issue purchase orders and ensure accuracy of specifications, quantities, and prices.
5. Follow up on deliveries and resolve issues related to delays or errors.
6. Maintain and update procurement records, contracts, and supplier databases.
7. Monitor inventory levels in coordination with Operations and Warehouse departments.
8. Review invoices and ensure they match contracts and purchase orders before submission to Finance.
9. Manage supplier contracts, including labor suppliers, telecom services, construction services, spare parts and maintenance providers, stationery and electronic suppliers, housing suppliers, vehicle suppliers, tools and clothing suppliers, and others, regarding terms, execution periods, and renewals.
10. Prepare periodic procurement reports and submit them to the direct manager.
11. Ensure compliance with procurement policies and health & safety requirements.
12. Oversee all procurement-related matters, including purchase orders and contracts.
13. Handle urgent or emergency purchase requests and coordinate promptly with suppliers.
14. Coordinate with Finance to settle payments and ensure invoice compliance with purchase orders.
15. Liaise with government or service entities when required (e.g., telecom companies or insurance providers) regarding procurement contracts.
16. Assist in internal and external audits by providing relevant procurement documents and contracts.
17. Regularly follow up with suppliers to ensure compliance with agreements and improve service quality.
Requirements:
1. Diploma or Bachelor’s degree in Business administration, Supply Chain, or related field.
2. Proficiency in both Arabic and English.
3. Three to Five years of practical experience in procurement or supply chain.
4. Strong communication and negotiation skills.
